How do I differentiate Users’ vs non-Users’ booking experience and rate?

As an admin, learn how to charge differently for members vs non-members or offer different booking rates

Do you accept bookings from non-members via your website but at different price? This model allows you to maximize the use of your resources and attract new Users, while highlighting the value of your memberships.

This case study breaks down 2 examples of how you can offer different prices or policies for Resources based on membership type with Optix:

Example 1: I would like to charge non-Users and Users a different rate for their bookings

Company A wants to make Conference Room A available for external Users to book. They would like to offer this room to members (ie. Users in Optix) for an hourly fee of $75 or an option to use their allowance, while non-Users are charged an hourly fee of $100. What would they need to do to automate this?

Relevant resources:

Step 1: Set the Resource's price as the rate for non-Users

  1. Click on Resources

  2. Select All Resources and click Conference Room A

  3. Scroll to Pricing and save the hourly price of $100

  4. Click Save

Step 2: Enable the Drop-in Web Widget for your non-Users

  1. Click on Settings

  2. Click on Web widgets and select Drop-in Bookings

  3. Enable the drop-in booking web widget on your website to accept bookings. Here, the non-User can book and pay for the booking right away at the $100 rate.

Note: Ensure that the visibility toggle for Conference Room A is enabled at the bottom

Step 3: Set the price for Users

  1. Click on Plans > Plan template OR Passes

  2. Click Add Plan or on the existing Plan template(s) OR Pass(es)

  3. Add discount via the 'Overage discount' for the Conference Room. In Company A's case, the discount would be 25%.

Note: The 'Overage discount' will appear for only organizations who are on the 'Allowance + overage' model in Settings > Plans & Passes.

Note: Updating the Plan template will only affect Users who purchase the Plan after the update.

If you already have existing Users on Plans and Passes, you will need to update your members' Plans and Passes' Allowance. Hot tip! You can do this with Plans bulk edit.

Step 4: How do I offer User prices for my Conference Room A to all Users, including the current Users?

For new Users who purchased the updated Plan templates, you won't need to bulk update their Plans.

Note: Users must have a Plan to access the User exclusive pricing.

Example 2: How do I offer different availability for our Users vs non-Users?

Company B’s resources are available 24/7 for their Users to book. However, they would like to allow non-Users to book from 9 AM - 5 PM only on the weekdays. What would they need to do to configure the difference in availability?

Relevant resources:

Step 1: Set the Operating hours for non-Users

  1. Click on Settings

  2. Click on Organization

  3. Select Locations and click on the location(s) of your interest

  4. Click on Service Hours and set the operating hours to 9 AM - 5 PM, Monday - Friday

Step 2: Set the Operating time for Users

  1. Click on Resources

  2. Select All resources and click on the resource(s) of your interest

  3. Scroll to Booking policy and click on Configure

  4. Enable the 25/7 availability toggle

  5. Click Save

This setting will override the operating hours in Settings > Location.

Note: You will only be able to enable the 24/7 availability toggle for resources whose Resource Type does not have a time slot. Click here to learn more about the time slot.

Step 2: Enable the Drop-in Web Widget for your non-Users

Non-Users who create a booking through the drop-in web widget will see the default operating hours configured in Settings > Location.

  1. Click on Settings

  2. Click on Web widgets and select Drop-in Bookings

  3. Enable the drop-in booking web widget on the website to accept bookings via the website. Here, the non-Users can book and pay for the booking right away.
