How do I accept inquiries from Prospective Users?

As an admin, learn how you can get prospective or new members to inquire about membership or bookings at your space

If you prefer to review your prospective Users' details before allowing them to create a booking or purchase a Plan/Pass directly from your website, you can do this by enabling the inquiry form.

Note: Once the Prospective Users submit their inquiry, they will be added to your dashboard as an 'Unconfirmed User'. Click here to learn more about 'Unconfirmed Users'.

The Inquiry form helps you:

  • Vet Prospective Users before they book or buy: Review each Prospective User's details and decide who's a good fit for your community, before they get access to bookings or Plans/Passes on your website.

  • Collect exactly the information you need: Ask whatever questions matter to you via custom User properties, so you walk into every follow-up conversation with full context.

  • Turn imported leads into Automation-ready Users: Whether a Prospective User is brand new or was bulk-imported earlier as an Unconfirmed User, their Inquiry form submission still saves to their record and can trigger your Inquiry form submitted Automations, so your nurture sequence keeps working end to end.

  • Stay in control of what's public on your website: Choose exactly which Plans/Passes show on the form, or hide pricing altogether and just capture interest.


How to enable the Inquiry form feature

To enable your inquiry form:

  1. Click on Settings from the left-hand menu

  2. Click on Forms and select Inquiry

  3. Click Enable Feature

How to create the list of questions you want to collect from my prospective Users


To create and enable the list of questions:

  1. From Settings > Forms > Inquiry, scroll down to the bottom under 'Included fields' to click Go To User Properties OR navigate to Settings > User settings > User properties.

  2. Optional: You can create a separate property group for your Inquiry form. Click here to learn more.

  3. Create your questions via User properties

  4. Scroll to the bottom of the user property under 'Inquiry form', and select either Optional or Required based on your preference.

How to embed the Inquiry form onto your website

Note: Your website must be SSL enabled (https) in order to accept payments through this feature. If you are not sure if your website meets these requirements, please contact your web developer or website hosting service.

To Share Your Form or Link, you will have to generate an export of some code. This needs to be added to your website in order to complete the process of integrating Inquiry with your website.

When exporting the code, you first have to select how you want the Inquiry form to display on your website.

  • Embed will allow you to have the Inquiry form integrated onto one of your existing web pages.

  • Pop-up will allow you to have users click a button to open a modal that displays over the top of a webpage.

  • Link will give you the URL to which you can connect an \"Inquire\" button (or something similar) to open the Inquiry form on a separate page.

If you are unfamiliar with how to edit your website, it is recommended that you work directly with your web developer on how best to integrate this functionality on your site. If you don't currently have a web developer available to you, we recommend using the link option. The link to inquire directly from your website will be in the format: yoursubdomain.optixapp.com/Inquiry.

How to select the Plans & Passes you want to allow users to express interest in on your Inquiry form

  1. On the Plans & Passes that you want users to express interest in, ensure that the 'Visible to new users' toggle is enabled

  2. Alternatively, disable the 'Display plans and passes' toggle from your Inquiry form settings

Note: If you disable the Plans & Passes page from your form, you may want to create a User property that allows users to either select from a drop down of membership types OR to write a note about their interest.

This is helpful for understanding their interest and fit with your community.

FAQs

Can a User who already exists as Unconfirmed still submit the Inquiry form?
Yes. If an existing Unconfirmed User submits the Inquiry form using the same email address, Optix recognizes the existing account and saves the new inquiry details to it, rather than blocking the submission or creating a duplicate.

What happens to Automations when an existing Unconfirmed User submits the Inquiry form?
The Inquiry form submitted trigger fires as expected, so any Automation built on that trigger runs normally. The New Unconfirmed User trigger will not fire again, since it only fires when the User account is first created. If your nurture sequence depends on New Unconfirmed User, plan to hand off to Inquiry form submitted for Users who convert from an earlier import or signup.

Does the User's original source change when they submit the Inquiry form?
No. The User's original source (for example, Import) is preserved. Only the User's status and inquiry details are updated.

Can I bulk-import event attendees as Unconfirmed Users and later have them submit the Inquiry form?
Yes. This is a supported workflow: import your attendee list as Unconfirmed Users, run a nurture Automation toward the Inquiry form, and when a User submits the form, Optix updates their existing record and triggers Inquiry form submitted Automations normally.
