How do I assign a Resource to a User?

Creating an Assignment for a user is a great way to provide dedicated access at a customized price. You can make an Assignment on behalf of a User directly from your web dashboard. First, navigate to the Schedule tab (in either the Calendar or List subsection).

  1. Select Create and choose New assignment from the drop-down menu


  2. From the slide-out panel, begin populating the following details:




    Choose the Resource you wish to assign.

    Note: If the desired Resource is not appearing, you may need to enable Assignments for that Resource. You can do this by navigating to Resources > All Resources, selecting the Resource in question, and scrolling to the ‘Assigning’ section. Choose ‘Admins can assign’ to enable this functionality.

    Choose the User or Team you wish to assign the Resource to.

    Populate the start and end date of the Assignment. Alternatively, if the Assignment is ongoing, you can choose to set ‘no end date’.

  3. Set Conditions for the Assignment if you’d like to provide access for certain days and/or times. For instance, you may assign a private office only during weekdays 9 am-5 pm so that other Users can book the Resource outside of the Assignment.

    You can also customize your conditions to fit the needs of your organization or maximize your Resource utilization. For instance, you may assign a private office Monday, Tuesday, and Friday from 9 AM to 5 PM to Team A, while you assign the same office Wednesday and Thursday from 9 AM to 7 PM to Team B.

    Any notes, such as terms and conditions, can be added in the ‘additional info’ section. Hit Next to continue.

  4. On this page, choose how you’d like to charge for this Assignment from three separate options: Free, Single Payment, or Repeat Payment. Select any of these options and set any applicable preferences.



    When selecting either single or repeat payments, you can choose to collect a refundable deposit, designate a payee for the invoices (i.e. the User or their Team), and set the first payment due date.

    For repeat payments, you can also choose to bill monthly or yearly.

    Note: If an Assignment with a repeat payment is created in the middle of the month, its initial price will be prorated.

  5. On the next page, review the Assignment details on the final page. If you need to make any changes, hit the Back button. If the Assignment is set up correctly, click Save to confirm.

  6. Congrats! You’ve created an Assignment! 🎉 View all active and past assignments in Schedule > List.
