How do I sync a Microsoft 365 account to Optix?

As an admin, learn how to sync Microsoft 365, Outlook or Exchange calendars with Optix resources

Optix uses Microsoft Exchange Web Services (EWS) to connect to your on-premises or cloud-hosted Exchange server. You'll need an account with admin permissions to grant Optix the necessary access.

To connect your Exchange account with Optix

  1. Select Apps from the left-hand menu and click Exchange

  2. Click Install and follow the prompts to allow access to your Exchange account

Note: If you are not given the option to select an Exchange account, it indicates that Microsoft is reusing the previously granted permission

If you are connected to the wrong account:

  1. Visit My Apps page

  2. Log into the current account and remove Optix

  3. Reinstall the Exchange app in Optix

  4. Connect Optix to the correct Exchange account

To connect your Exchange calendar with a resource

  1. Select Resources from the left-hand menu, click the more button (three vertical dots) next to the resource, and then click Edit

  2. Scroll down to the ‘Calendar’ section

  3. Input the email address of the Exchange Room Resource you want to connect to this resource

  4. Click Save


FAQs

  1. One email = One resource

    Each Exchange calendar resource must be linked to a unique email address. If you attempt to connect the same email to multiple resources, the sync will fail.

  2. Room resource mailboxes required

    In Exchange, each resource (e.g. meeting room) should have its own room resource mailbox, equipment mailbox, or shared mailbox. These come with a calendar and are necessary for sync to work properly. Here’s a Microsoft article on how to set these up

  3. Error: “Could not connect resource to calendar”

    This often indicates the same email address is being used across multiple resources. Make sure each resource uses a separate mailbox.

  4. Cannot manage multiple calendars under one account (unlike Google)

    Unlike Google Calendar, where one email can own multiple calendars, Microsoft Exchange requires a unique mailbox for each synced calendar resource
