Timeline View is a resource-based scheduling view that shows how your spaces, rooms, equipment, or other resources are being used over time. Instead of listing bookings by user or event, Timeline displays resources as rows and time as columns, allowing you to quickly see availability, conflicts, and gaps at a glance.
With Timeline View, you can:
Instantly see resource availability: quickly understand which resources are free or occupied at any given time, without switching between calendars
Identify conflicts and unused availability: spot overlapping bookings or open time slots at a glance to optimize usage
Plan resource usage more efficiently: view and manage resource utilization across a day or longer period from a single timeline
Create and manage from one screen: book, assign, schedule tours, or block time for resources directly from the Timeline view

To open Timeline View:
Go to Manage in the left-hand navigation
Select Schedule
Click Timeline
Timeline View is made up of four main areas:

If a resource row has no colored bar during a specific time range, that resource is available.
Each colored bar represents a time-based record:
Booking: A confirmed reservation
Assignment: A long-term or scheduled allocation
Tour: A scheduled tour or visit
Block: A period when the resource is unavailable
Service hours (closed): Time outside normal operating hours
Each type is visually distinct and explained in the legend.
The red vertical line indicates the current time, helping you quickly see what’s happening right now. You can also click the Today button in the top-right corner to quickly return to today’s view.
You can change the date shown on the Timeline by clicking the date displayed at the top of the view and selecting a different day. You can also use the left and right arrows to move backward or forward in time.
Timeline currently supports Day, Week, Month, and 3-month views, making it easy to review resource usage at different levels of detail—from hour-by-hour scheduling to longer-term planning. Additional enhancements may be added as the Timeline feature continues to evolve.
To filter Resources in Timeline View:
Timeline View includes built-in filters that help you focus on the resources that matter most and reduce visual clutter.
Available filters include:
Resource type: Filter by the type of resource, such as rooms, equipment, or other custom categories.
Location: Filter the timeline by a specific location.
Capacity: Show only resources that meet a specific capacity requirement (for example, rooms that can hold 10+ people).
Availability: Focus on available or unavailable resources to quickly find open slots or identify fully booked periods.
Using filters helps improve performance and makes it easier to manage organizations with many resources.

To create a new booking, assignment or block:
Open Schedule > Timeline
Click the Create button in the top-right corner (Or click or drag directly on an empty time slot in the timeline grid)
Confirm the resource and time.
Complete the remaining details and save.
To view, edit, or cancel an existing item:
Locate the colored bar (booking, assignment, tour, or block) in the timeline.
Click the bar to open its details panel.
View and update the time, resource, or other details, or choose Cancel if needed.

Timeline View can display multiple types of records at once, giving admins a complete picture of how resources are being used over time.
You may see the following record types:
Bookings – Standard reservations made by users or admins
Assignments – Long-term or ongoing allocations (commonly used instead of recurring bookings)
Tours – Scheduled visits or walkthroughs
Blocks – Administrative holds or maintenance periods that prevent booking
Service hours (closed) – Time periods when booking is not allowed based on resource availability settings

I don’t see a resource I expect in Timeline View
Try the following:
Check the Resource type filter and make sure the correct category is selected
Verify the resource is active and assigned to the correct location
Confirm the resource has service hours configured for the selected date
Timeline looks crowded or slow to load
If you manage many resources, Timeline may feel busy.
To improve clarity and performance:
Use Resource type, Capacity, or Availability filters to narrow the view
Collapse resource groups you don’t need to see
Focus on a single day rather than longer ranges
I don’t see a booking, assignment, or tour I expect
Make sure you’re viewing the correct date
Confirm the record type is included (Bookings, Assignments, Tours, or Blocks)
Check whether the item was canceled or converted into a different record type
Why do I see “Service hours (closed)” blocks?
These indicate times when the resource is not available for booking based on its service hours configuration. Bookings and assignments cannot be created during these periods unless service hours are adjusted. Or an admin creates the booking manually on behalf of the user.
