How does Floor Plan work in Optix?

As an admin, learn how to visualize and manage resources on an interactive floor plan

Floor Plan is an admin-facing tool that overlays real-time bookings and availability directly onto your floor layout, so you always know what’s happening and when. Whether it’s desks, offices, studios, or any other resource, you can see occupancy at a glance and take action in seconds.

Create a floor plan in your coworking software

With Floor Plan, you can:

  • Centralize maps for one or many locations: manage all of your spaces from a single view, no matter how big your footprint

  • View availability and conflicts instantly: spot what’s free (and what’s not) without toggling between schedules

  • Book or assign from the same screen: create bookings or long-term assignments on behalf of your users right from the map


How to enable the Floor Plan feature

How to create your first Floor Plan

  1. Navigate to Manage > Floor Plan

  2. Click the Floor dropdown and select Add new floor plan

  3. Name: Add a name (e.g., “Floor 1”)

  4. Choose the location this floor belongs to

  5. Upload your floor plan image

  6. Click Save to begin placing resources

Note: Prepare a clear PNG/JPG image of your floor in advance (high-resolution, with margins for easier placement).

How to edit my Floor Plan

Within the Setup panel on the right-hand side, you’ll find four key sections that let you customize your floor plan:

1. Details

  • Edit the Name of your floor (e.g., “Floor 1”)

  • Select the Location where this floor belongs

  • Upload or replace the Image of your floor plan

2. Resources

  • View all resources currently placed on this floor

  • Add new resources by dragging them from the resource list into the plan

  • Remove resources from the floor plan

3. Marker Settings

  • Adjust the Marker Size to fit the proportions of your floor plan image

  • Show or hide Marker Labels depending on whether you want resource names displayed directly on the plan

4. Delete Floor Plan

  • Remove the floor plan image and configuration entirely

Note: Removing resources from the floor plan won’t delete the resource itself, just its placement on the plan; removing the floor plan image will not delete your resources or existing bookings/assignments – it only clears the floor plan view so you can re-upload and start fresh

How to use Floor Plan

Once your Floor Plan is set up, you can use it to monitor real-time and future usage of your resources.

  1. Open your Floor Plan

    • Select the Floor dropdown to choose the floor you want to view

    • Green dot = Available

    • Red dot / Occupied = Booked or assigned

  2. Use the time or range slider

    • At the bottom of the screen, drag the time or range slider to see the availability status of each resource at a specific point in time or range of time

  3. Check resource details


    • Click on a resource marker to open its detail panel

    • Here, you can view bookings, assignments, and directly create a new booking or assignment

  4. Change view

    • Use the zoom and pan controls (top left) to adjust your view of the floor plan

    • Switch between Time (specific time) or Range (time period) at the bottom of the screen

FAQs

Can I add multiple floor plans?

Yes, you can create multiple floor plans for different levels or locations. Use the floor selector in the dashboard to toggle between them.

Can users see the floor plan in the app?

No, at this time, the Floor Plan feature is only available in the Admin Dashboard. Floor Plans are not yet supported or visible in the user app.
