6 default Automations are auto-loaded into your Automations tab on Optix:
New plan email
Invoice paid email
New booking email
New active users welcome email
Booking cancelled email
Assignment added email
These Automations include communication from some of the most active areas of your dashboard, giving you a great introduction to the power of automation.
Note: These Automations represent standard workflows and email functions that have historically not been visible to Optix admins. Within the new Automations feature, you are now able to edit these Automations to better suit your needs.
Customizing the default Automations to maximize Member communication
Example: As an Admin, I would like to alter the "New active user welcome email" automated workflow to be specifically-tailored to our coworking community, and how our flex space it set up.
How can I do this within Optix Automations?
Click on the Automations tab
Click on the New active user welcome email Automation
Click on the Pencil icon to edit
Click on Edit automation
Click on the Send email step to edit the step
Make the desired edits on the "Send email" edit window
Click Done in the top right corner of the edit window
Click Save in the top right corner of the Automation canvas to save your Automation and set it live right away.
Note: Default Automations do not count towards your Automations actions unless you update the workflow (ie. add or change steps).
About the Assignment added email
The Assignment added default Automation sends an email notification to a user when an admin adds them to an assignment. It is enabled by default.
If your space uses assignments solely for inventory or resource management — rather than as a member-facing commitment — you may want to disable this notification to avoid sending unnecessary emails to users. You can do this by pausing the Automation from the Automations tab.
Note: The Assignment added default Automation is available to all Optix organizations. If you do not see it in your Automations tab, check that your organization was created after this feature was released, or contact support.
