What are Automation Templates?

Templates are pre-built Automation workflows for the moments that matter most in growing and running your space, like turning a drop-in visitor into a member, or catching a plan renewal before it churns. Instead of building a workflow from scratch, you can turn a Template on in a few clicks and customize it to fit your space.

What are Templates organized into Collections

Related Templates are grouped into Collections, each built around a specific business goal. Instead of browsing dozens of individual Templates, you can go straight to the Collection that matches what you're trying to achieve.

Prospect Conversion Collection


Designed to turn inquiries and tours into signed-up members.

  • Book more tours from inquiries: Follows up with new inquiries automatically to encourage them to book a tour.

  • Sign up more members after tours: Sends confirmation and follow-up messaging before and after a tour to move prospects toward signing up.

Drop-In Conversion Collection

Designed to turn one-time drop-in visitors into repeat bookers, and repeat bookers into members.

  • Confirm drop-in bookings and welcome first-timers: Sends a booking confirmation and reminder, and creates a staff task to welcome first-time visitors in person.

  • Encourage drop-in bookers to book again: Follows up after a visit to prompt a second booking.

  • Convert repeat drop-ins into members: Fires after a user's third completed drop-in booking, the natural moment to start a membership conversation with someone who's already shown they value your space.

  • Re-engage inactive drop-in bookers: Wakes up drop-in users who haven't booked again after 45 days, with the option to include a credit incentive. This Template requires Automations+.

  • Increase plan retention: Sends renewal messaging and creates a staff task 30 days before a member's plan ends.

  • Increase assignment retention: Sends renewal messaging and creates a staff task 45 days before an assignment ends.

Member Milestones Collection

Designed to build loyalty and turn happy members into advocates for your space.

  • Ask members to leave a public review: Requests a review at set milestones, such as 1 month and 6 months into a member's tenure.

  • Celebrate members' anniversaries: Sends a celebratory message at the 1-month, 3-month, and 1-year marks.

How to find and use Templates in Optix

To browse and turn on a Template:

  1. Click on the Automations tab in the Optix dashboard

  2. Click Templates

  3. Browse by Collection, or scroll through all available Templates

  4. Click on a Template to preview it

  5. Click Set live to turn it on immediately with its default setup:

FAQ

What's the difference between a Collection and a Template?

A Template is a single pre-built Automation, like "Convert repeat drop-ins into members." A Collection is a group of related Templates built around the same business goal, like the Drop-In Conversion Collection. Collections make it easier to find the right Template for what you're trying to achieve.

Do I need Automations+ to use every Template?

No, most Templates are available on the base Automations plan. Some Templates, such as Re-engage inactive drop-in bookers, use premium actions or triggers and require Automations+. Learn more about the difference between Automations and Automations+.

Can I customize a Template after turning it on?

Yes. Click Open in editor before setting a Template live to adjust its trigger, conditions, or messaging, or edit it later from the Automations tab like any other Automation.

Who can turn on or edit Templates?

The same Admin permission levels that can create and edit Automations can also use Templates. Learn more about Admin permissions for Automations.

Troubleshooting

I don't see the Templates page in my Automations tab.

Check that your Admin permission level allows you to create and edit Automations. If you still don't see it, contact support.

I turned on a Template but the messaging doesn't match my brand.

Click into the Automation from your Automations tab and select the Pencil icon to edit it, just as you would any other Automation.
