How do I sync a Microsoft 365 account to Optix?

As an admin, learn how to sync Microsoft 365, Outlook or Exchange calendars with Optix resources

Optix uses Microsoft Exchange Web Services (EWS) to connect to your on-premise or cloud hosted Exchange server. You'll need to ask a server administrator to perform a few tasks in order for Optix to access & sync your calendars.

  1. Create a new user account on your Exchange server for Optix to authenticate as - we recommend something like optix@yourdomain.com

  2. Make sure that this account has access to the meeting room mailboxes you wish to use within Optix

  3. Give this user the "Application Impersonation" role within Exchange - This is a special role that allows connected applications to manage and "impersonate" multiple mailboxes with a single login. Without this role, Optix will not be able to update your Exchange calendars.

  4. Save this user account login details as they will be needed in the next step.

Note: If you are not given the option to select an Exchange account, it indicates that Microsoft is reusing the previously granted permission.

If you are connected to the wrong account:

  1. Visit My Apps page

  2. Log into the current account and remove Optix

  3. Reinstall the Exchange app in Optix

  4. Connect Optix to the correct

To connect Exchange account with Optix

  1. Select Apps from the left-hand menu and click Exchange

  2. Click Install and follow the prompts to allow access to your Exchange account with the impersonation role

To connect your Exchange calendar with a resource

  1. Select Resources from the left-hand menu, click the more button (three vertical dots) next to the resource, and then click Edit

  2. Scroll down to the ‘Calendar’ section

  3. Input the email address of the Exchange Room Resource you want to connect to this resource

  4. Click Save
